for vendors interested in operating the concession stand at the Minor League field for the
2025 season. This is a unique opportunity for vendors to engage with the local community,

of Batavia Youth Baseball.
Overview of Batavia Youth Baseball
Batavia Youth Baseball has been a cornerstone of the Batavia community for several
decades, providing a structured and supportive environment for young athletes to develop
their skills, build teamwork, and foster a love for the game of baseball. The organization
hosts teams across various age groups, with the Minor League being one of the most
popular divisions. The league is known for its competitive spirit, sportsmanship, and
community involvement.
Project Scope
The concession stand at the Minor League field is a vital part of the game-day experience
for players, families, and fans. It offers refreshments and snacks, enhancing the enjoyment
of the games. Vendors interested in this opportunity should be prepared to manage all
aspects of concession stand operations, including:
• Menu planning and pricing
• Food and beverage preparation and service
• Inventory management and supply ordering
• Hiring and training of staff
• Maintaining cleanliness and hygiene standards
• Compliance with all health and safety regulations
Season Details
The 2025 Minor League season runs from May 1st to July 3rd, with games scheduled
multiple times a week, including weekends. The concession stand should be operational
during all games, providing a consistent and reliable service to attendees.
Proposal Requirements
Interested vendors should submit a comprehensive proposal by March 1st. The proposal
should include the following information:
• Company Overview: A brief description of the vendor's business, including
experience in food service, previous partnerships or contracts, and any relevant
certifications or licenses.
• Operational Plan: An outline of the vendor's plan for staffing, training, inventory
management, and overall operations. This should also include proposed hours of
operation and a plan for maintaining cleanliness and compliance with health
regulations.
• Financial Proposal: A breakdown of anticipated costs and revenues, including a
proposed financial arrangement with Batavia Youth Baseball. This may include a
percentage of sales, a flat fee, or another mutually beneficial financial model.
• References: Contact information for at least three references who can speak to the
vendor's reliability, quality of service, and professionalism.
Evaluation Criteria
Proposals will be evaluated based on the following criteria:
• Experience and Qualifications: The vendor's experience in operating concession
stands or similar food service operations, as well as any relevant certifications and
licenses.
• Operational Plan: The vendor's approach to managing the concession stand,
including staffing, training, and compliance with health and safety regulations.
• Financial Proposal: The proposed financial arrangement and its potential benefit to
Batavia Youth Baseball.
• References: Feedback from previous clients or partners regarding the vendor's
reliability and quality of service.
Submission Process
Proposals should be submitted electronically to the Batavia Youth Baseball Board of
Directors at batavianyyouthbaseball@gmail.com by March 1st. Late submissions will not
be considered. Vendors may be invited for an interview or to present their proposal in
person as part of the evaluation process.
